Privacy Policy

This policy explains how Tradefixer handles personal data. Tradefixer is a service provided by Vidify Ltd ("we", "us", "our"), a company registered in England & Wales (Company No. 06255718), registered office Accountancy House, 90 Walworth Road, London, England, SE1 6SW.

We take privacy seriously. This policy is written to be read, not buried. If anything is unclear, contact us at enquiries@vidify.co.uk.

1. The data we collect

From Subscribers (tradespeople)

• Name or trading name, mobile/WhatsApp number, email address, and trade type.
• Business details you choose to provide during setup (e.g. communication style, postcode, location).
• Payment details, processed by Stripe — we do not store full card numbers ourselves.
• Usage information: leads captured, messages sent, actions taken, and similar activity used to run and improve the service.

From Callers (your customers)

• Phone number and the time of the call.
• Audio of answered calls and, where applicable, the resulting recording and transcript.
• WhatsApp messages, voice notes, photos and videos the caller sends in response to a missed-call follow-up.
• The structured job summary our AI produces from the above (e.g. job type, urgency, location, availability).

Numbers you ask us to exclude (e.g. friends and family)

Some Subscribers want calls from personal contacts kept separate from business enquiries. You can flag a number for exclusion in two ways, and what we keep depends on which:

• Sharing a contact card: we extract the phone number — and the name, if the card includes one — and permanently delete the contact file itself immediately afterwards. We do not keep the original card.
• Providing a number only: we store just the number, with no name or other details attached.

Either way, the number is used only to recognise that caller and treat them differently from a business enquiry — for example, offering them a simple way to leave you a message that's forwarded to you on WhatsApp, if you've enabled that. We do not contact them for any other purpose. If someone whose number has been added this way wants it removed, they — or you, on their behalf — can email enquiries@vidify.co.uk.

2. How and why we use it

We use this data to:

• Catch missed calls and message the caller on the Subscriber's behalf via WhatsApp.
• Transcribe and analyse calls and messages to produce a clear job summary and draft quotes.
• Deliver lead notifications and one-tap actions to the Subscriber.
• Recognise numbers a Subscriber has flagged as personal contacts, so calls from them aren't treated as commercial enquiries, and optionally offer them a message-forwarding option instead.
• Detect and block abusive or time-wasting contacts.
• Operate, secure, support and improve the service, and take payment.
• Build aggregated, anonymised insight into demand trends across the platform (for example, general patterns in job types or enquiry volumes by area). This analysis does not identify any individual caller, Subscriber, or enquiry, and is never shared in a form that could re-identify one.

We do not sell personal data, and we do not use call content or messages to train third-party AI models.

3. Our role: controller and processor

For Subscriber data (account, billing, usage), we act as a data controller.

For Caller data, and for any other personal data you ask us to process on your behalf — including numbers you flag for exclusion — the Subscriber (the tradesperson) is the controller, and Tradefixer acts as their processor, handling that data on their instructions to provide the service. Subscribers are responsible for having a lawful basis to receive and respond to their customers' enquiries, and for having a legitimate reason to share a contact's details with us for exclusion purposes.

4. Lawful bases (UK GDPR)

• Contract — to provide the service you sign up for.
• Legitimate interests — to operate, secure and improve the service; to capture and structure leads; to correctly distinguish personal contacts from business enquiries; and to build aggregated, anonymised demand insight — in each case, in a way that does not override individuals' rights.
• Consent — where required, for example certain communications.
• Legal obligation — where we must retain or disclose data by law.

5. Call recording

Where a forwarded call is answered and recorded, callers are given a clear notice that the call is being recorded before the conversation continues. Recordings and their transcripts are automatically deleted after 30 days. Subscribers can request earlier deletion of any individual recording, lead or transcript.

6. Who we share data with

We use a small number of trusted providers ("sub-processors") to run the service. Each only receives the data needed for its function:

We may also disclose data where required by law, or to protect our rights, users or the public.

7. International transfers

Some providers are based outside the UK (including the United States). Where data is transferred internationally, we rely on appropriate safeguards such as UK-approved Standard Contractual Clauses or equivalent mechanisms.

8. How long we keep it

• Call recordings and transcripts: deleted after 30 days.
• Account and lead data: kept while your account is active, then deleted or anonymised within a reasonable period after closure, unless we must keep it longer for legal or accounting reasons.
• Excluded numbers (friends/family): kept while your account is active, or until you ask us to remove one.
• Billing records: retained as required by UK tax and accounting law.

9. Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise any of these, email enquiries@vidify.co.uk.

If a Caller, or someone whose number has been flagged to us for exclusion, wishes to exercise rights over data held on behalf of a Subscriber, we will direct the request to the relevant Subscriber (the controller) and assist as their processor.

10. Security

We use appropriate technical and organisational measures to protect personal data, including access controls and encrypted connections to our providers. No system is perfectly secure, but we work to keep your data safe and to respond promptly to any incident.

11. Cookies and the website

Our website uses only the cookies and similar technologies needed to run the site and, where used, basic analytics to understand traffic. We will update this section if we add anything that requires consent.

12. Children

Tradefixer is a business tool intended for adults. It is not directed at children, and we do not knowingly collect data from anyone under 18.

13. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows the current version, and material changes will be communicated to Subscribers.
